Client Service Associate
The Client Service Associate offers their services to Willis Investment Counsel’s investment advisors and their clients. They perform administrative duties and basic financial functions, but their main role is to assist clients. They may answer client inquiries, set up meetings between clients and advisors, and contact clients with information regarding their accounts or investments. They may also provide general support for the Operations division as requested.
DUTIES AND RESPONSIBILITIES
- Assist in the management of routine customer requests and queries
- Maintain detailed, accurate records of client meetings, investment policy, account paperwork, and other pertinent information
- Schedule client meetings as needed; ensuring the investment manager is prepared for those meetings including generating and printing materials, and taking detailed notes at meetings as requested
- Cultivate professional relationships with clients, listening carefully to their needs and providing the best service possible
- Proactively help to resolve client questions and concerns in a timely, professional, and positive manner, escalating issues to the next level of authority, as needed
- Assist the Operations division with tasks as requested (i.e., account opening paperwork, compliance-related matters, portfolio reconciliation with custodial statements)
- Draft well-written client memos, letters, and emails as requested
- Display a high degree of integrity, trustworthiness, and professionalism at all times
- Actively promote teamwork, taking initiative to help others
- Review, validate and distribute client reports and commentaries
- Review client presentations and coordinate mailings
QUALIFICATIONS
- Bachelor’s degree is required; finance or related field preferred
- 1+ year experience interacting with people and displaying excellent service skills, demonstrated through work and/or education, required
- 2+ years’ experience in the investment industry, preferred
- Knowledge of Advent APX or other financial reporting system, preferred
SKILLS
- Basic knowledge of financial markets and principles
- Proficiency in Microsoft Office Suite programs, especially Excel and PowerPoint
- Accurate and efficient productivity; attention-to-detail is a required skill
- Ability to work independently
- Helpful, friendly, approachable, enthusiastic, and professional disposition
